Purpose
This Client Responsibilities Agreement sets out what AI Takes Axion Ltd requires from the client in order to deliver services effectively and on time. Failure to meet these responsibilities may result in delayed timelines, additional charges, or inability to proceed with the agreed work.

Content & Materials
For website projects, the client must provide the following within the timeframe requested:
- Logo files — PNG format with transparent background preferred
- Brand colours — hex codes if known, or clear reference images
- Written copy — text for all pages, or confirmation that the Company should write it
- Photography — images of the business, team, or premises where applicable
- Business information — name, address, phone, opening hours, services, pricing
- Access to existing accounts — domain registrars, Google accounts, social media where required

Approvals & Feedback
The client is required to provide timely feedback and approvals throughout the project:
- Website preview feedback must be submitted as a single consolidated response — not as separate messages over multiple days
- Sign-off on the completed website must be provided in writing before the site goes live
- SEO deliverables require the client's review — silence for more than 7 days constitutes approval
- AI system configurations must be reviewed and approved by the client before deployment

Response Times & Timeline Impact
Project timelines are calculated on the basis of timely client engagement:
- Content requests — must be provided within 14 days. If not received, the timeline shifts accordingly.
- Feedback requests — consolidated feedback should be provided within 5 working days of receiving a preview
- Approval requests — written approval should be provided within 5 working days
Projects placed on hold at the client's request for more than 30 days may be subject to a re-engagement fee.

Accuracy of Information
The client is solely responsible for ensuring all information provided is accurate, up-to-date, and lawful. The Company is not responsible for errors or legal issues arising from incorrect information provided by the client.

Legal Compliance
The client is responsible for ensuring their use of the Company's services complies with all applicable laws including:
- UK GDPR and the Data Protection Act 2018
- Privacy and Electronic Communications Regulations (PECR)
- Consumer protection and advertising standards
- Industry-specific regulations applicable to their business

Consequences of Non-Compliance
If the client fails to meet the responsibilities set out in this Agreement:
- Project timelines may be extended
- Additional charges may apply for work required as a result of late or incomplete information
- The Company may suspend work until required materials or approvals are received
- In cases of persistent non-engagement, the Company reserves the right to terminate the project. The deposit will not be refunded in such circumstances.
